The property record

One property, one running record

Every property Northfield maintains has a reusable record: a profile, its assets and rooms, inspections, findings, work orders and completion evidence — each with a next-due date. The sample below is Property NF-014, shown for demonstration only (no real address or person).

  1. Property profile

The property’s type, municipality, occupancy and authorized contacts. The full address and access notes are private and stored securely — never shown here.

    Sample NF-014 · Townhouse · Cambridge · Owner-occupied

  2. Asset or room

The assets and rooms worth tracking — an exterior door, a filter location, a sump pump, a smoke/CO alarm location — each with a condition and a service interval.

Sample Front entry door & weather seal · condition: fair

  3. Inspection

A scheduled inspection against a configured seasonal checklist, dated and attributed to the crew who performed it.

Sample Fall seasonal inspection · 2026-10-12

  4. Finding

An observation from an inspection or visit — with a severity, a recommended next step, and whether it needs a separate quote. A finding is an observation, not a diagnosis or certification.

Sample Worn weather seal at front entry · severity: monitor · needs quote

  5. Work order

The approved work that follows a finding, with its scope, the customer’s approval and any recorded change order. No scope grows without a recorded approval.

Sample WO · Replace front-entry weather seal · approved 2026-10-15

  6. Completion evidence

What was recorded as done — completed and skipped tasks with reasons, materials used, and photos where consented.

Sample Seal replaced · before/after photos on file · crew declaration

  7. Next due date

The next scheduled check for the asset, so the record carries forward and nothing is a loose note.

Sample Recheck at spring inspection · due 2027-04

A standing order of care

Because the record is reusable, every issue has an owner, a status and a history — and every deferred risk keeps the date and the decision behind it. Customers see visit evidence and any unresolved items.

Property, tenant, access and media records are protected server-side with least-privilege access. Addresses and access notes are private; this demonstration shows only municipality-level, synthetic data.
